1. Scope
This Privacy Policy describes how XperPrint LLC ("XperPrint", "we", "us") collects, uses, and discloses information about users of the XperPrint customer portal at portal.xperprint.com and related services.
2. Information we collect
- Account information: name, email, role, employer/customer association, login credentials.
- Contact information: phone number (when you opt in to SMS), mailing or service address.
- Service data: tickets you create or are assigned to, devices on your account, service history, parts used, photos and notes attached to tickets.
- Usage data: IP address, browser type, pages visited, timestamps. Used for security and service quality.
- Consent records: when you opt in to SMS or other communications, we record the timestamp, the number opted in, and the IP address.
3. How we use information
- To deliver field service and managed print services you or your employer requested.
- To send service-related communications (email and, with your opt-in, SMS).
- To bill, invoice, and collect payment for services rendered.
- To improve the portal, troubleshoot issues, and prevent abuse.
- To comply with legal obligations.
4. SMS and mobile information
Phone numbers collected for SMS notifications are used only for that purpose. Mobile information is never shared with third parties or affiliates for marketing or promotional purposes. See our SMS Terms for details on the SMS program.
5. Sharing
We share information only with:
- Service providers who help us operate the portal (hosting, email delivery, SMS delivery via Twilio, payment processing). These providers are contractually bound to use the information only to deliver their service to us.
- Authorized representatives of your employer or account, when access is required for them to perform service activities on your behalf.
- Government or legal entities when required by law.
We do not sell or rent personal information.
6. Data retention
We retain information for as long as your account is active or as needed to provide services and comply with our legal obligations. You may request deletion of your information by emailing privacy@xperprint.com; we will respond within 30 days subject to any legal retention requirements.
7. Security
We use industry-standard safeguards including TLS encryption in transit, bcrypt password hashing, role-based access control, audit logging, and regular software updates. No system is perfectly secure; if we become aware of a breach affecting your information we will notify you per applicable law.
8. Children
The XperPrint portal is intended for business use by adults. We do not knowingly collect information from individuals under 13.
